The internship will provide insight into the Records Services Department and their responsibilities for MFA Oil Company. Records Services is in charge of the Address Book for customers and vendors, customer tax exemptions, patronage including the payout of dividends and operating the company switchboard.

Responsibilities

  • Set up customer and vendor accounts ensuring that we have the correct legal name and tax ID number on file. Collect and record W-9’s for all vendor accounts.
  • Process acquisitions by making sure that all customer accounts are set up correctly.
  • Tag customer accounts with the appropriate tax exemptions. Work with field locations to make sure that we have current exemptions on file and request an updated one if need be. 
  • File current tax exemptions and shred expired exemptions after the designated waiting period.
  • Process weekly check requests for customer refunds.
  • Operate company telephone switchboard and serve as receptionist, greeting visitors and directing them to the appropriate personnel.
  • Tag customer accounts with membership, issue patronage checks and 1099-PATR’s, reissue checks as requested, process equity retirements and answer patronage related phone calls.
  • Assist with cleanup projects related to New Dawn.
  • Know and adhere to company policies and procedures.
  • Follow posted work schedule, and adhere to proper clocking procedures to accurately reflect hours worked.
  • Maintain timely and professional communication with management, employees, and customers. Keep supervisor informed of any problems and/or any issues that need attention.
  • Participate in and contribute to MFA Oil’s formalized internship program.
  • Other duties as assigned

Job Requirements

  • High School diploma or equivalent
  • A current student or May graduate of current year, majoring in Business, Agriculture, Communications, or related field.
  • Strong Microsoft Office skills
  • Goal orientated with strong attention to detail.
  • Must be an analytical thinker.
  • Strong verbal and written communication skills.
  • Ability to speak, read, write, and understand the English language to communicate with customers, coworkers, and supervisors
